Bulk Edit Email Settings

⭐ Premium

The bulk edit email permissions screen lets you set email opt-in preferences for your entire directory in one go. Rather than updating each person individually, you can use this screen to grant or revoke specific email permissions for everyone at once — useful when setting up Church Admin for the first time, or after a data reset.

A note on what this screen does

This is a blunt instrument — it applies the same settings to every person in the directory with no filtering. Any permission you tick is switched on for everyone; any permission you leave unticked is switched off for everyone. Use it with care, particularly if your congregation has already set their own individual preferences.

To update permissions for a specific individual, edit their person record directly instead.

Using the screen

Go to Church Admin → People → Bulk edit email permissions. You will see four checkboxes — one for each type of email communication Church Admin can send. Tick the ones you want to enable for everyone and leave the others unticked.

The four permissions

  • Blog posts by email — whether people receive an email when a new post is published on the church website
  • New prayer requests by email — whether people receive an email when a new prayer request is submitted
  • New Bible readings by email — whether people receive an email when a new Bible reading plan entry is published
  • Schedule participation details by email — whether people receive an email notifying them of their upcoming rota slots

Click Save when done. A confirmation message appears and the permissions are immediately applied across the whole directory.

Undoing a bulk change

To reverse a permission you have just set for everyone, return to this screen, leave that checkbox unticked, and save again. This removes that permission from all records. The screen reminds you of this — uncheck and save to undo permissions for all.

How it interacts with individual preferences

When you save this screen, the settings are applied to every person record regardless of what was there before. This means:

  • If someone had previously opted out of prayer request emails and you tick that box and save, they will be opted back in
  • If someone had opted in to Bible reading emails and you leave that box unticked and save, they will be opted out

For this reason the screen is best used during initial setup before individuals have had a chance to set their own preferences — or in specific situations where you need to reset permissions across the board deliberately.
