This screen lets you create a new ministry or edit an existing one. Ministries are the serving teams in your church — worship band, welcome team, children’s workers, elders, and so on. Getting ministries set up correctly is important since they connect to the rota, Ministry Chat, the volunteer form, follow-up funnels, and the small group oversight structure.

Finding the form
To add a new ministry go to Church Admin → Ministries → Add a ministry.
To edit an existing ministry go to Church Admin → Ministries, find the ministry in the list, and click Edit.
Fields
Ministry name
The name of the ministry as it appears throughout the plugin — for example Worship Team, Welcome Team, or Children’s Workers. This is a required field. The name appears in schedule job dropdowns, the volunteer form, Ministry Chat room labels, and the follow-up funnel assignment screen.
Parent ministry
Optionally assign this ministry as a child of another ministry. This creates a hierarchical structure — for example Sound Desk and Projection might both be children of a parent Technical Team ministry. The hierarchy is used in the small group oversight structure and for organising the ministry list. Leave blank for top-level ministries.
Description
A short description of what this ministry does. Shown on the volunteer form so people can understand what they are expressing interest in before submitting. Keep it welcoming and practical — what the team does, when they meet or serve, and who it might suit.
Online volunteering
Tick this to make the ministry appear on the volunteer form on your website. Leave unticked for internal ministries that you manage by direct invitation rather than open applications — for example an elders team or safeguarding team. See Volunteers.
Team contact email
The email address that receives notifications when someone submits a volunteer enquiry for this ministry. This should be the ministry leader or whoever handles recruitment for the team. If left blank, volunteer notifications go to the site admin instead.
Ministry image
An optional photo or image shown alongside the ministry on the volunteer form — for example a photo of the team in action. Click to select from the WordPress Media Library or upload a new image. A good image makes the volunteer form more engaging and helps people picture themselves as part of the team.
Members
Add people from the directory to this ministry. Type a name to search and select — multiple people can be added. Everyone listed here:
- Appears in the ministry dropdown when filling rota slots for schedule jobs linked to this ministry
- Has access to this ministry’s private Ministry Chat room
- Can be assigned follow-up tasks if this ministry is linked to a funnel
- Appears on the Volunteers screen as a current team member
Remove a name from the field to remove them from the ministry — they will lose access to the ministry’s chat room and will no longer appear in the rota dropdown for jobs linked to this ministry.
Saving
Click Save Ministry. A confirmation message appears and you are returned to the ministries list. Changes take effect immediately — the rota dropdowns, Ministry Chat rooms, and volunteer form all update straight away.
