The Download CSV and mailing labels screen exports your directory data in three formats — a spreadsheet CSV, individual mailing labels, or household mailing labels. The people filter lets you narrow down exactly who is included before you download, so you only export the records you need.

Finding the screen

Go to Church Admin → People → Download CSV / Labels.

Step 1 — Filter who to include

The full people filter appears at the top of the screen. Use it to narrow down the export to exactly the group you need — for example, all full members, everyone in a specific small group, or all adults in a particular site. Leave the filters at their defaults to export everyone in the directory.

Step 2 — Choose a format

Select one of the three download formats:

  • CSV file — a spreadsheet-compatible file containing all the people matching your filter, with one row per person. Useful for mail merges, importing into other systems, or analysing your directory data in Excel or Google Sheets.
  • Individual mailing labels — a print-ready PDF with one label per person in the filtered list. Use this when correspondence is addressed to a named individual rather than a household.
  • Household mailing labels — a print-ready PDF with one label per household, addressed to the household as a whole. Use this for Christmas cards, general letters, or anything sent to a home address rather than a specific person. Step 3 — Choose an address type

A dropdown lets you choose which address to use for labels and CSV exports:

  • Use street address — always uses the household’s main street address
  • Prefer mailing address if it exists — uses a separate mailing address stored on the household record if one has been entered, falling back to the street address if not. Useful for households where post should go to a different address — for example a PO box, a care home, or a seasonal address.

Step 4 — Download

Click Download. The file is generated immediately and your browser downloads it. CSV files open directly in Excel, Google Sheets, or any spreadsheet application. PDF label files are ready to print — see Household mailing labels for tips on paper size settings and print alignment.

Tips

  • Make sure addresses are geocoded before generating labels — the label PDF uses the address data stored on each household record. If addresses are incomplete or haven’t been entered cleanly, the labels will reflect that. Run Check for directory issues beforehand if you’re unsure about your data quality.
  • Set your label paper size in Settings first — the PDF is formatted for a specific Avery® label sheet. Go to Church Admin → Settings and check the PDF label settings before your first label run. See Household mailing labels.
  • Print a test page before committing to the label sheet — print onto plain paper first and hold it against the label sheet in front of a light to check alignment.
  • Use filters to avoid wasting labels — filtering by member type or site before downloading means you only print what you need.
