Church Service Bookings

Service Prebooking lets members reserve a place at a service before they attend. It’s useful for services with limited capacity — Christmas and Easter services in a small venue, a special guest speaker event, or any service where you want to manage numbers in advance. Members book through your website and receive a confirmation, and you get a pre-attendance list before the service runs.

Setting up

Service prebooking works alongside your existing services. You need at least one service configured before prebooking can be enabled. Go to Church Admin → Sites & Services to add your services if you haven’t already. See Service schedule.

Once a service exists, go to Church Admin → Sites & Services → Service prebookings to enable prebooking for that service and set the capacity limit.

Adding the booking form to your website

Create a page on your website and add the shortcode or the Church Admin block:

Or search for Church Admin in the Gutenberg block inserter and select the Service Bookings option. The booking form is publicly accessible — visitors do not need to be logged in to book a place.

How booking works for members

When a visitor opens the booking page they see the available services with prebooking enabled. They enter their name, email, and the number of places they need, then submit the form. A confirmation email is sent to the address they provided and their booking appears in the admin dashboard.

If a service is at capacity, the booking form shows it as full and prevents further bookings.

Managing bookings in the dashboard

Go to Church Admin → Sites & Services → Service prebookings to see all bookings for each service. The screen shows each booking with the name, email, number of places, and booking date. From here you can:

  • See the total number of places booked against the service capacity
  • Review individual bookings
  • Delete a booking to free up a place — useful if someone can no longer attend and contacts you directly
