A small group funnel automatically triggers a follow-up task for anyone who joins a specific small group — for example inviting them to a welcome event, assigning a group leader to make contact, or any other action you want to happen when someone new joins that group. It works alongside the standard member type funnels, but is triggered by small group membership rather than by member type.
Go to Church Admin → Follow Up → Add smallgroup funnel. You need the Funnels permission level to access this screen. See Permissions and roles.
Before you start
- Small groups must exist — the dropdown lists your current small groups. If none appear, set up your groups first at Church Admin → Small Groups. See Small groups.
- The ministry team must exist — the follow-up task is assigned to a member of a ministry. Make sure the relevant ministry is set up at Church Admin → Ministries before creating the funnel. See Ministries, small groups and classes.
Creating a small group funnel
Small group
Select the small group this funnel applies to. Only one funnel can exist per small group — if a funnel already exists for the group you select, a new one will not be created.
People type
Choose which people type this funnel applies to — Adult, Teenager, Child, or any custom type you have configured. The funnel will only trigger for people of the selected type who join the group, so you can have different follow-up actions for adults and children joining the same group if needed.
Which ministry to do the follow-up
Select the ministry team whose members will be assigned the follow-up tasks generated by this funnel. When a task is assigned, it is given to a member of this ministry. The ministry should be the team with pastoral responsibility for that small group — typically the small group leaders team or an oversight team.
Member types
Tick the member types this funnel applies to. This lets you restrict the funnel to specific groups — for example only triggering for Visitors or Regular Attenders joining the group, not for existing Members who are simply being moved between groups.
Saving
Click Set smallgroup funnel. The funnel is created immediately. From this point on, anyone who matches the criteria — the right small group, people type, and member type — and has no existing follow-up record will appear on the Unassigned follow up tasks screen waiting to be assigned.
How small group funnels differ from standard funnels
- Standard funnels — triggered by a person’s member type changing; used for the main journey from visitor to member
- Small group funnels — triggered by membership of a specific small group; used for group-level follow-up actions such as a welcome from the group leader or an invitation to the group’s social event
The default action created for a small group funnel is Smallgroup invite — this label is set automatically when the funnel is created.
