Add Individual Attendance lets you tick off specific people from the directory who attended a service, building a per-person attendance record rather than just a headcount. You can also add visiting adults and children who aren’t in the directory to ensure your total figures are accurate.
Accessing individual attendance
In the admin dashboard
Go to Church Admin → Attendance → Add individual attendance.
Via the Our Church app
Individual attendance can also be recorded directly from the Our Church app, making it practical to tick people off as they arrive at the door rather than doing it retrospectively from memory. The app record syncs to the dashboard immediately. See Getting started with the app.
Step 1 — Choose member types
The first screen asks which member types to include in the attendance list. Tick the ones you want — for example Members and Regular Attenders — and click Show. This filters the directory to only show the relevant people rather than loading your entire database.
Step 2 — Choose service and date
Select the service and the date of the service from the dropdowns and date picker at the top of the form. If attendance has already been recorded for that service and date, the existing record is loaded with the previously ticked people already checked — so you can review and update it rather than starting from scratch.
Step 3 — Tick who attended
The form displays households grouped by last name, with each person in the household shown as a checkbox. Photos appear next to names where a photo has been uploaded and permission granted, making it easier to identify people quickly.
A few things worth knowing about the layout:
- Select household button — clicking this next to any household ticks everyone in that household at once, saving time for families who always attend together
- Different surnames — Church Admin handles households where members have different last names, displaying the full name for anyone whose surname differs from the head of household
- People types — children and teenagers are tracked separately from adults so the aggregate figures split correctly into adults and children
Step 4 — Add visiting adults and children
At the bottom of the form, two number fields let you add a count of visiting adults and visiting children — people who attended but are not in the directory. These figures are added to the ticked-off directory members to produce the total attendance figure for the service.
This means your aggregate attendance graph remains accurate even on weeks with high visitor numbers, without needing to create directory entries for one-off visitors.
Saving
Click Save attendance. Church Admin saves every ticked person to the individual attendance record, calculates the total adult and child figures, saves the aggregate attendance record for the service and date, and recalculates the rolling 12-month average — all in one step.
If attendance was previously saved for the same service and date, the existing record is replaced entirely with the new submission. A confirmation message appears with a link to view the attendance list.
What individual attendance unlocks
