Add/Edit a Calendar Event

This screen lets you create a new calendar event or edit an existing one. Events appear on the interactive calendar shortcode on your website, the calendar list view, and the monthly PDF. They can also be included in an ICS export feed for people to subscribe to in their own calendar app.

Finding the form

To add a new event go to Church Admin → Calendar → Add to calendar.

To edit an existing event go to Church Admin → Calendar, find the event in the calendar or list, and click Edit.

Event details

Title

The name of the event as it appears on the calendar, in the list view, and on the monthly PDF. Keep it concise — long titles are truncated on the calendar grid.

Category

Select which calendar category this event belongs to. The category controls the colour of the event block on the calendar and determines which filtered calendar lists it appears in. If no categories have been set up yet, go to Church Admin → Calendar → View categories first. See Calendar categories.

Start date and time

The date and start time of the event. The date is required — the time is optional. If no time is entered the event is treated as an all-day event and appears without a time on the calendar.

End date and time

The date and time the event finishes. For a single-day event, the end date is the same as the start date. For a multi-day event — a weekend away, a conference, a mission week — set the end date to the last day of the event. The event appears on every day between the start and end date on the calendar grid.

Recurring events

If the event repeats on a regular schedule, tick Recurring and set the recurrence pattern:

  • Frequency — Daily, Weekly, Fortnightly, Monthly, or Annually and also nth day (e.g. 2nd Friday of the month)
  • Repeat until — the date on which recurrence stops. Recurring events are generated up to this date. Set this far enough ahead to cover your planning horizon — you can always edit and extend it later.

Church Admin generates individual calendar entries for each occurrence up to the repeat until date. Each occurrence can be edited independently if needed.

Location

The venue or address where the event takes place. This appears on the calendar event detail and in the list view. Enter it consistently — the Update Calendar Locations screen lets you bulk-update location text across all events if you need to correct or standardise it later. See Update calendar locations.

Description

A longer description of the event shown when someone clicks on it in the calendar or list view. Use this for details like what to bring, who the event is for, how to book, or a contact name. Basic HTML is supported.

URL

An optional link associated with the event — for example a booking page, an event page on an external website, or a Zoom link for an online event. When set, the event title on the calendar becomes a clickable link pointing to this URL.

Show on public calendar

Tick this to make the event visible on the public-facing calendar and list view on your website. Leave unticked to keep the event visible in the admin dashboard only — useful for internal planning events, staff meetings, or anything you don’t want to publish publicly.

Image

An optional image associated with the event, shown in the event detail popup when someone clicks on the event. Upload or select from the WordPress Media Library. Good for event posters, speaker photos, or promotional images.

Saving

Click Save. The event appears on the calendar immediately. If Show on public calendar is ticked, it is visible on your website straight away without any further steps.
