Add/Edit a Service

This screen lets you create a new service or edit an existing one. A service is a gathering that takes place at a site — your regular Sunday morning, a midweek meeting, or a one-off event like a wedding or funeral. Services are the foundation of attendance tracking and the rota.

Finding the form

To add a new service go to Church Admin → Sites & Services → Add service.

To edit an existing service go to Church Admin → Sites & Services, find the service in the list, and click Edit.

Fields

Service name

The name of the service — for example Sunday Morning, Wednesday Evening, or Youth Service. This name appears throughout the plugin wherever the service is referenced — in attendance records, the rota, and the weekly attendance form.

Site

Select which site this service takes place at from the dropdown. If you only have one site it will be pre-selected. For multi-site churches, assigning each service to the correct site keeps attendance and rota records correctly separated. Sites are managed at Church Admin → Sites & Services → Add site.

Service day

Select the day of the week the service meets. This determines which day the service appears on in the weekly attendance form and how it is labelled in the rota.

Service time

The start time of the service in HH:MM format — for example 10:30 or 18:30. This appears in the service label across the plugin and in the individual attendance CSV export.

Service frequency

How often the service meets. The options are:

  • Weekly — meets every week on the selected day
  • Fortnightly — meets every two weeks
  • Monthly — meets once a month
  • Annually — meets once a year, useful for special annual services
  • Ad hoc — no fixed schedule; used for one-off services like weddings, funerals, baptisms, or special events. Ad hoc services are added individually with a specific date rather than appearing automatically in the rota or weekly attendance form. See Scheduling ad hoc services.

Capacity

The maximum number of people the venue can hold for this service. This is used by the service prebooking feature to limit how many places can be reserved online. Leave blank or set to zero if you don’t use prebooking or don’t want to enforce a limit. See Service prebookings.

Enable prebooking

Tick this to enable the prebooking form for this service. Once ticked, the service will appear on the prebooking shortcode page so members and visitors can reserve a place in advance. The capacity field must be filled in for prebooking to work correctly — it’s what prevents overbooking.

Service description

An optional description of the service shown on the public-facing prebooking page — for example what to expect, who it’s suitable for, and any practical details like parking or accessibility. Only relevant if prebooking is enabled.

Display order

A number controlling the order this service appears in dropdown lists and the weekly attendance form when you have multiple services. Lower numbers appear first. Set your main Sunday service to 1 and other services to higher numbers to keep them in a logical order.

Saving

Click Save Service. A confirmation message appears and you are returned to the services list. The service is immediately available for attendance recording, rota scheduling, and prebooking.
