This screen lets you create a new small group or edit an existing one. All the details that appear on the public-facing small groups page and map are set here — along with the group’s leadership, oversight, and membership.
Finding the form
To add a new group go to Church Admin → Small Groups → Add a group.
To edit an existing group go to Church Admin → Small Groups → Show groups, find the group in the list, and click Edit.
Group details
Small group name
The name of the group as it appears in the admin dashboard, on the public groups page, and on the small groups map. Keep it clear and recognisable — for example Monday Evening Home Group or East Side Life Group.
Photo
An optional image for the group — shown on the public-facing groups page and app. Drag and drop an image onto the upload area or click to select one. A default placeholder is shown until a photo is uploaded.
Meeting frequency
How often the group meets — Weekly, Fortnightly, Monthly, or Occasionally. Shown on the public groups page so people know what commitment to expect.
Meeting day
The day of the week the group meets. Combined with the start time this forms the meeting schedule shown publicly.
Start time
The time the group starts, entered in HH:MM format — for example 19:30.
Max attendees
The maximum number of people the group can accommodate. This is informational — it doesn’t automatically close the group to new members but gives leaders and admin a reference point for when a group is at capacity and a new one should be planted.
Description
A longer description of the group shown on the public-facing groups page — who it’s for, what they study or discuss, the style of the group, and anything else that helps someone decide whether to join.
Contact number
A phone number or contact detail for the group, shown publicly so people can get in touch before committing to attend.
Address and map location
Enter the address where the group meets. If a Google API key is configured, a Update map button appears — click it after entering the address to geocode the location and drop a pin on the map. You can drag the pin to the exact position if needed.
The geocoded coordinates are what place the group on the small groups map and on the public-facing groups page. Without geocoding, the group won’t appear on any map. See Google API key setup and Geolocating.
Leadership
Group leaders
Type a name in the leaders field to search the directory and select the leader or leaders of this group. Multiple leaders can be assigned. Leaders are stored separately from members and can be displayed distinctly on the public groups page.
Oversight
If you have set up an oversight structure, dropdowns appear for each oversight level — for example choosing which Coach Group and which Zone Pastor this group sits under. Selecting these here connects the group into your full oversight hierarchy so it appears correctly in the oversight list and metrics. See Small group oversight structure.
Adding people to the group
Type names in the people field to search the directory and add members to the group. Multiple people can be added. Anyone currently in the group is shown in the field when editing — remove a name to remove them from the group.
If someone is removed from a group and is not assigned to any other group, they are automatically moved to the Unattached category rather than being left with no group assignment at all.
Saving
Click Save Small group. A confirmation message appears and you are returned to the groups list. The group appears on the public-facing small groups page and map immediately if it has been geocoded.
