A funnel defines a single follow-up action that should happen when someone has a particular member type — for example a welcome visit for new Visitors, or a joining day invitation for Regular Attenders. You build your complete follow-up process by creating one funnel per step, each linked to the appropriate member type and the ministry team responsible for it.
Go to Church Admin → Follow Up → Add funnel. You need the Funnels permission level to access this screen. See Permissions and roles.

Funnel action
A short description of the action to take — this is what appears in the follow-up task list so team members know what they need to do. Keep it clear and specific: Welcome visit within 48 hours, Invite to Alpha, Phone call from elder, or Send joining day details.
Funnel order
A number controlling where this funnel sits in the overall sequence. If your process has three steps, number them 1, 2, and 3 so Church Admin knows which order to present them. Defaults to 1 if left blank.
Link to member type
Select which member type triggers this funnel. When a person is assigned that member type — either manually or through the directory — this follow-up action becomes available to assign to a team member. Each funnel is linked to one member type, so if you have four member types and want a follow-up step for each, you create four funnels.
Ministry responsible for action
Select the ministry team whose members will be assigned this follow-up task. When the task is assigned, it can be given to any member of the selected ministry. Choosing the right ministry here means the right team sees the task — your welcome team for initial visits, your small group leaders for group invitations, and so on.
Or create a new ministry
If the ministry you need doesn’t exist yet, type its name in the Or create a new ministry field. The ministry will be created and linked to this funnel in one step, saving you from having to set it up separately first. The field clears automatically when you click into it.
Saving
Click Save Follow up funnel. The funnel is saved and the full funnel list is displayed so you can review all your funnels together and check the sequence looks right.
If a funnel already exists for the same action and member type combination, the existing funnel is updated rather than creating a duplicate.
Building a complete follow-up process
A typical church might create funnels like this:
- Order 1 — Welcome visit within 48 hours — Member type: Visitor — Ministry: Visitation team
- Order 2 — Invite to Alpha — Member type: Visitor — Ministry: Alpha team
- Order 3 — Invite to small group — Member type: Regular Attender — Ministry: Small group leaders
- Order 4 — Send joining day details — Member type: Regular Attender — Ministry: Elders
Create one funnel per step and the complete journey from first visit to membership becomes trackable and accountable.
