The Unassigned Follow Up Tasks screen shows everyone who needs a follow-up action but hasn’t yet had one assigned to a team member. It’s an action queue — a list of people falling through the cracks who need someone to take responsibility for their next step.
This screen appears both as a summary section on the main Follow Up screen and as a dedicated page at Church Admin → Follow Up → Unassigned follow up tasks. You need the Funnels permission level to access it. See Permissions and roles.
How it works
Church Admin looks at every funnel you have set up and finds anyone who matches that funnel’s criteria — the right member type, people type, or small group — but has no follow-up task recorded for them yet. These are the people the screen lists.
Two types of funnel are checked:
- Member type funnels — finds anyone whose member type and people type match a funnel but who has no follow-up record at all
- Small group funnels — finds anyone assigned to a specific small group who matches the funnel’s people type but has no follow-up record
If the list is empty the screen shows a confirmation that all follow-up tasks have been assigned — a reassuring sign that nothing has been missed.
What the list shows
Each row in the table shows:
- Person — the name of the person needing follow-up
- People type — Adult, Teenager, Child, or whatever type is configured
- Member type — their current member type, shown as a dropdown you can update directly from this screen without opening their record
- Follow up required — the action that needs to be taken, drawn from the funnel definition
- Assigned to — a dropdown to select which team member should take this action. Selecting someone here assigns the task immediately — no separate save step is needed.
- Person record last updated — when this person’s record was last changed, helping you prioritise who is most recent
Assigning tasks
Select a team member from the Assigned to dropdown on any row to assign that follow-up task. The assignment is saved immediately via AJAX — no page reload or save button needed. Once assigned, that person moves off this list and appears in the Current follow up tasks screen instead.
Emailing newly assigned tasks
After assigning tasks, click the Email newly assigned follow-up activity button at the top of the screen to notify all recently assigned team members of their tasks in a single action. This saves sending individual emails and is a useful step to do after a Sunday morning when multiple new visitors have been assigned to your welcome or visitation team.
