This page explains how to create and edit a class in Church Admin. Classes are time-limited courses with a start date, a schedule, and an enrolment list. See Classes overview if you haven’t already read how the Classes module works.
Finding the form
To add a new class go to Church Admin → Classes → Add a class.
To edit an existing class go to Church Admin → Classes, find the class in the list, and click Edit.
Class details
Class name
The name of the class as it will appear on the public-facing registration page and in the admin dashboard — for example Alpha, Introduction to Christianity, or Marriage Course.
Class description
A short description shown to people on the public registration page below the class name. Explain what the class is, who it’s for, and what they’ll get out of it. Plain text is fine but basic HTML is also supported if you want to add formatting.
Led by
Type a name to search the directory and select the leader or leaders of the class. Multiple leaders can be added. Leaders are linked to their directory record so they can be contacted through Church Admin’s communications tools.
Start date
The date of the first session. This is also used as the anchor date for calculating recurring session dates — so if the class meets weekly from 15 October, set the start date to 15 October and choose Weekly as the recurrence.
Recurring
How often the class meets. The options are:
- Once — a single session on the start date
- Daily — a session every day from the start date
- Weekly — a session every week on the same day as the start date
- Fortnightly — a session every two weeks
- nth day — a session on a specific occurrence of a day each month, for example the 1st Friday or the 3rd Tuesday. When you select this option, two additional dropdowns appear to choose the occurrence (1st, 2nd, 3rd, or 4th) and the day of the week.
- Monthly on same date — a session on the same calendar date each month
- Annually — a session once a year
How many times in all?
The total number of sessions the class runs for. For a weekly class running for ten weeks, enter 10. Church Admin uses this to generate all the session dates on the calendar automatically — so a 10-week weekly class starting on 15 October will create calendar entries for all ten Wednesdays (or whichever day the start date falls on).
This field is hidden when you select Once since a single session doesn’t need a count.
Category
Assign the class to a calendar category. This controls the colour the class sessions appear in on the calendar and groups them with other events of the same type. Categories are managed in Church Admin → Calendar → View categories.
Start time and end time
Enter the start and end time of each session in HH:MM format — for example 19:00 and 21:30. These times appear on the public registration page and on the calendar entries generated for the class.
Add some people
Enrol people from the directory directly when creating or editing the class. Type a name to search and select — multiple people can be added. This is the admin route for enrolment, useful for adding people who signed up in person or by phone rather than through the website registration form.
People registered through the public website form are also added to the enrolment list automatically.
Saving
Click Save. Church Admin saves the class details and automatically creates calendar entries for every session based on the start date, recurrence, and number of sessions. If you later edit the class and save again, the old calendar entries are replaced with newly generated ones reflecting the updated settings.
After saving you are returned to the Classes list where the new or updated class appears with its enrolment list and session count.
A note on editing existing classes
When you edit a class and save, the calendar entries for all sessions are deleted and recreated from scratch based on the updated settings. This means if you have manually edited any individual session dates on the calendar, those changes will be lost. Make sure the class settings are correct before saving if your calendar entries are already in use.
