The Sessions module lets small group leaders and class leaders log individual sessions — recording who attended, who was contacted, and how people are being cared for and connected with. It goes beyond simple attendance tracking by giving leaders a per-session checklist they can work through for each member.

What Sessions is for

Sessions was designed for churches that want more than a headcount. Rather than just knowing that twelve people came to a small group, Sessions lets the leader record — for each person — whether they attended, whether they were contacted if they didn’t, and any other care actions taken that week. Over time this builds a picture of how well each person is being engaged with, making it easier to spot someone who is slipping away before they disappear altogether.

It works equally well for classes — logging which students attended each session of an Alpha course or discipleship group, for example.

Before you start

You need at least one small group or class set up with people assigned to it before Sessions is useful. See Ministries, small groups and classes and Small groups.

Accessing Sessions

In the admin dashboard

Go to Church Admin → Sessions.

On your website

Sessions can be embedded on a page so group leaders can log sessions without needing access to the WordPress dashboard:

Or search for Church Admin in the Gutenberg block inserter and select the Sessions option. Leaders need to be logged in with a WordPress account to use the front-end sessions form.

Starting a session

When you open the Sessions screen, a dropdown lets you choose which group or class you are recording a session for.

Select the group and a new session opens, showing every member of that group in a table with a set of columns — one per trackable action — that you can tick for each person as the session progresses or immediately afterwards.

Saving and reviewing sessions

Once you’ve filled in the session details, save it. The session is stored and from then on, whenever you select the same group from the dropdown, a list of all previous sessions for that group appears — so you can review the history and see patterns over time.

Sessions vs basic attendance tracking

Church Admin has two ways to track attendance at small groups and classes:

  • Sessions — per-person, per-session detail with a checklist of care actions. Best for small groups where pastoral care is important and leaders want a record of how they’re engaging with each person.
  • Attendance tracking — aggregate numbers per service or group. Best for Sunday attendance figures and reporting trends over time. See Attendance tracking.

You can use both — attendance tracking for your Sunday service numbers and Sessions for your small group pastoral care records.
