The daily birthdays email is sent each morning to everyone in the directory, listing all the birthdays being celebrated that day. It’s a great way to encourage your congregation to reach out and celebrate each other. It respects individual communications preferences — anyone who has opted out of emails will not receive it.
Go to Church Admin → Key Dates → Daily birthdays email.
Email sender settings
Four sender fields control how the email appears in recipients’ inboxes:
- From name — the name shown as the sender
- From email address — the address the email is sent from
- Reply name — the name shown if a recipient hits reply
- Reply email address — the address replies go to
Email template
Set the subject line and message body using the WordPress editor. The following shortcodes are available:
[first_name]— the recipient’s first name, personalising the email for each person who receives it[last_name]— the recipient’s last name[birthdays]— inserts an HTML table listing all of that day’s birthdays. Place this in the message body where you want the list to appear.
A typical message might read: Good morning [first_name]! Here are today’s birthdays — why not send a message to wish them well? [birthdays]
Enabling the automation
At the bottom of the screen, tick the Send email to people about birthdays that day checkbox to enable the automation. Then tick the member types who should receive it — you might want to send this to Members and Regular Attenders but not to your full Mailing List.
Click Save. The automation is scheduled to run from 6am the following morning and will repeat daily from then on. On days with no birthdays, the email is not sent.
To disable it, untick the checkbox and save. The scheduled automation is removed immediately.
