Ministry Chat rooms are not created or configured manually. Church Admin automatically generates a chat room for every ministry you have set up, and membership of each room is controlled entirely by ministry membership. If you want to change who can see a chat room, you do it by changing who is in that ministry.

How rooms are created

Every ministry in Church Admin → Ministries automatically gets its own chat room. You don’t need to create rooms separately — they appear as soon as a ministry exists. If you add a new ministry, its chat room appears straight away for anyone assigned to it.

Controlling who is in each room

A member sees a ministry chat room if and only if they are assigned to that ministry in the directory. So managing chat access is simply a matter of keeping your ministry rosters up to date:

  • To add someone to a room — add them to the corresponding ministry in Church Admin → Ministries
  • To remove someone from a room — remove them from the ministry
  • To create a new room — create a new ministry and assign the relevant people to it
  • To remove a room — delete or archive the ministry

The General room

The General chat room is available to every logged-in user automatically. There is no membership list to manage — anyone with a WordPress account linked to a directory entry can access it.

What administrators can see

Users with an administrator-level WordPress login can see and participate in all chat rooms regardless of which ministries they belong to. This means your admin team always has oversight of all conversations without needing to be manually added to every ministry.

Setting messages to expire

Administrators can set messages to automatically delete after a chosen number of days from Church Admin → Chat in the WordPress dashboard. This keeps older messages from building up on members’ devices and is worth setting up before you launch Chat to your congregation.
