Add a gift

The Add Gift screen lets you manually record a donation — cash, cheque, bank transfer, standing order, or any other payment method received outside the online giving form. Keeping all giving in one place means your reports and Gift Aid records are complete even if most of your congregation give by other means.

Go to Church Admin → Giving → Add gift.

Filling in the gift form

Donation date

Defaults to today. Change it if you are entering a gift that was received on a different date — for example catching up on a batch of Sunday offering envelopes.

Donor

Start typing a name and the field autocompletes from your directory. If the donor is in the directory, select them and their giving record will be linked to their person record — this is important for individual giving statements, Gift Aid declarations, and per-person giving reports.

If the donor is not in the directory — for example an anonymous gift or a one-off visitor — type a name and leave the autocomplete unselected. The gift will still be recorded but won’t be linked to a directory entry.

Envelope ID

If your church uses numbered giving envelopes, enter the envelope number here. This provides an alternative way to identify donors who prefer to give anonymously — you can match envelope numbers to people in your own records without linking to the directory.

Email

If you select a donor from the directory their email address is filled in automatically. For unlinked donors, entering their email here means they can receive a donation receipt if you have that set up.

Donation type

Select how the donation was made:

  • Cash
  • Cheque
  • BACs — bank transfer
  • Standing order
  • PayPal — for manually recording PayPal gifts not captured by the online form
  • Stripe — for manually recording Stripe gifts not captured by the online form

Donation frequency

Select whether this is a one-off gift, a weekly donation, or a monthly donation. This doesn’t affect how the gift is processed — it’s a label for reporting purposes so you can distinguish regular givers from occasional ones.

Donation amount and fund split

Select the fund the gift is for and enter the amount. A running total updates automatically as you type.

If the donor is splitting their gift between multiple funds — for example £50 to the General Fund and £20 to the Building Fund — click Add another fund split amount to add a second row. Repeat for as many funds as needed. The total of all rows is shown at the bottom.

Saving the gift

Two save options are available at the bottom of the form:

  • Save and list gifts — saves the gift and returns you to the giving list. Use this when you’re done entering gifts for the day.
  • Save and enter another — saves the gift and immediately clears the form for the next entry. Use this when working through a batch of envelopes or offering bags.

Gifts with a total amount of zero cannot be saved — the form will report an empty donation error.

Editing an existing gift

From the giving list, click Edit next to any gift to reopen it in this form with all the existing values pre-filled. Make your changes and save. The existing record is replaced with the updated values — fund splits are recalculated from whatever is on screen at the time of saving.
