The Facility Bookings screen shows a calendar view of bookings for each of your facilities, and lets you add bookings manually or share the facility calendar on your website. Each facility has its own calendar — switch between them using the facility selector at the top of the screen.
Go to Church Admin → Facilities → Facility bookings.
Choosing a facility
A dropdown at the top of the screen lists all your facilities. Select one and click Choose facility to load that facility’s booking calendar. The calendar shows all events and bookings recorded for that space.
The facility calendar
The selected facility’s bookings are displayed as a full interactive monthly calendar — the same calendar component used throughout Church Admin. Navigate between months using the arrows. Click on any existing booking to view its details.
Adding a booking manually
Click New calendar event for [facility name] to add a booking directly without going through the public booking form. This is useful for:
- Blocking out dates for internal church use — services, rehearsals, or events that aren’t external bookings
- Entering a booking received by phone or email rather than through the website form
- Recording a recurring booking such as a regular weekly hire
The form that opens is the standard Church Admin calendar event form, pre-linked to the selected facility. Fill in the event name, date, time, and any other details and save. The booking appears on the facility calendar immediately.
Showing the facility calendar on your website
Below the facility selector, Church Admin shows the shortcode for displaying that facility’s calendar on your website — for example:

The facilities_id number is specific to each facility. Copy the shortcode shown on screen for the facility you want to display — don’t manually guess the ID. Paste it onto any page to show that facility’s public booking calendar, so people can see availability before submitting a request.
Displaying the availability calendar publicly helps reduce booking conflicts and unnecessary enquiries — people can see for themselves whether a space is free before getting in touch.
Handling booking requests from the website
When someone submits a booking request through the public booking form on your website, the admin contact email for that facility receives a notification. The booking appears in the facility calendar for you to review. Add it as a confirmed booking using the New calendar event button once approved, and let the requester know directly by email or phone.
