This page covers the form used to add a new inventory item or edit an existing one. It’s where you record what an item is, add notes about it, and link the people who hold or are responsible for it. For an overview of the inventory feature as a whole, see the Inventory page.
Opening the form
From the Inventory list, click Add item to create a new item, or click Edit on any existing row to change one. Both open the same Edit inventory form.
Inventory item name
The name of the item — for example “Front door key”, “Hall projector” or “Sound desk”. This is what appears in the inventory list, so keep it short and recognisable.
Description
A longer note about the item. This is a free-text box, so use it for whatever’s helpful — which door a key opens, a serial number, where equipment is normally kept, or its condition. Anything you’ll want to know later when you look the item up.
People
Below the description are twenty numbered slots, labelled ID #1 through ID #20, for linking people to the item. Start typing a person’s name in a slot to find and select them from your address list.
You only need to use as many slots as you have people — leave the rest blank. Having twenty available means you can record everyone associated with an item, which is handy when several people hold a copy of the same key, or when a piece of equipment is shared across a whole team. The order you enter them in is preserved, so you can list the main keyholder first.
Saving
Click Save when you’re done. You’ll see an Item saved confirmation and be returned to the inventory list with your changes in place.
When you edit an item and save, the people links are rewritten to match exactly what’s in the form — so to remove someone from an item, simply clear their slot before saving. Anyone left in the slots stays linked; anyone removed is unlinked.
