The Inventory feature is a simple way to keep track of church items and who has them — things like keys, equipment, or anything else you lend out and want to know the whereabouts of. Each item can have a description and be linked to the people who hold or are responsible for it.
Finding the Inventory page
Open the Inventory section of Church Admin. You’ll see a list of all your inventory items, sorted alphabetically by name.
Adding and editing items
Click the Add item button at the top of the list to create a new item, or click Edit on an existing row to change one. Both open the same form, which has three parts:
- Inventory item name — what the item is, for example “Front door key” or “PA system”.
- Description — a longer note about the item, such as which door a key opens or where equipment is stored.
- People — up to twenty numbered slots (ID #1 to ID #20) for linking people to the item. Start typing a person’s name in a slot to find and select them.
The twenty People slots let you record everyone associated with an item — useful when several people hold a copy of the same key, or when a piece of equipment is shared across a team. You don’t need to fill them all; just use as many as you need.
When you’ve finished, click Save. You’ll see a confirmation message and be returned to the inventory list with your changes in place.
A good example is church keys: create one item per key or key type, note in the description which door or building it opens, and link it to the people currently holding a copy. That way you always have a record of who has which key.
The inventory table
Each row in the list is one inventory item, with the following columns:
- Item — the name of the item.
- Edit — opens the item so you can change its details.
- Delete — removes the item (you’ll be asked to confirm first).
- Description — your notes about the item, such as what a key opens or where equipment is kept.
- People — the person or people linked to the item.
On narrower screens the table collapses to show the item name with a toggle button, so you can tap to reveal the other columns.
Deleting an item
Click Delete on a row to remove an item you no longer need to track. You’ll be asked to confirm before it’s deleted, so there’s no risk of removing something by a single accidental click.
