The Children’s Check-in PDF generates a two-part printable document for managing children’s check-in and check-out at a session — a leader’s register sheet and a set of parent collection slips. It requires you to select which groups, which service, and which date you are generating it for.
Go to Church Admin → Children’s Work → Childrens checkin PDF. You must be logged in to generate the PDF.
What the PDF contains
The PDF is generated in portrait orientation and contains two sections for each group selected:
Part 1 — Leader’s register sheet
The first page for each group shows the group name, service name, and date at the top, followed by a table listing every child in that group with columns for:
- Name of child
- Check-in — the leader ticks or writes the time when the child arrives
- Check-out — the leader records the time when the child is collected
- Leader’s initials — the leader who handed the child over
Instructions are printed at the top of the sheet reminding leaders to tick or write the check-in time for each child and to hand the pre-cut parent slip to the parent at drop-off. When the parent returns to collect, they present the slip, the child is checked out, and the checkout time is added to the register.
Part 2 — Parent collection slips
The second section contains one slip per child, printed consecutively and sized to be cut apart before the session. Each slip shows:
- The child’s name and group name
- The text Please bring this slip to collect your child
The slip is given to the parent at drop-off and returned when they come to collect — providing a simple safeguarding control to ensure children are only released to the right adult.
Selecting groups, service, and date
Before the PDF generates you choose:
- Which groups to include — you can select one or multiple age-related groups. Each group generates its own pair of pages (register + slips) within the same PDF.
- Which service — the service name appears on the register sheet header so leaders know which service it relates to
- Date — the date of the session, shown on the register sheet header
Who appears on the sheet
The same allocation logic applies as for the groups PDF — a child appears if they have been manually assigned to that group, or if their date of birth falls within the group’s age range and they have no manual assignment elsewhere. Children with no group assignment and no date of birth will not appear. See Allocate children to groups.
Preparing for a session
- Generate the PDF before the session and print it
- Cut apart the parent slips from Part 2 — scissors along the box borders
- Give each child’s slip to their parent or carer at drop-off
- Tick or write the check-in time on the register sheet as each child arrives
- When a parent returns to collect, ask for their slip, match it to the register, and record the checkout time and leader’s initials
Paper size
The PDF uses whichever paper size is configured in your Church Admin settings — A4 for most of the world, or Letter for the US. This is set at Church Admin → Settings in the PDF settings section.
