The Not Available feature lets volunteers indicate in advance which dates they cannot serve. When you build the rota, Church Admin checks these dates automatically — warning you if you try to assign someone who is unavailable, and excluding unavailable people from auto populate selections entirely.

How volunteers set their availability

Volunteers can mark themselves as unavailable in three ways — on your website, in the Our Church app, or (for admins) directly in the dashboard.

On your website

Add the shortcode or Church Admin block to a members-only page:

Or search for Church Admin in the Gutenberg block inserter and select the Not Available option. Logged-in volunteers see a calendar where they can click dates to mark themselves unavailable. Admins see the same calendar but can switch between people and manage anyone’s availability — not just their own.

Make sure the page requires a login — availability data is personal and shouldn’t be publicly visible. See Members only content.

In the Our Church app

Volunteers can also mark themselves unavailable directly from the Our Church app — the availability calendar is available as a menu item in the app. This is the most convenient option for volunteers who check the app regularly. See Getting started with the app.

In the admin dashboard

Admins can set availability for any person directly from Church Admin → Schedule → Not available — useful for updating someone’s availability on their behalf if they mention it in passing rather than doing it themselves.

How it affects the rota

Unavailability dates feed directly into the schedule in two ways:

Warning when editing manually

When filling in the rota manually, anyone who has marked themselves unavailable for that service date is shown as unavailable in the ministry dropdown. If you try to save an unavailable person into a slot, Church Admin will not allow the save — you must choose someone else or leave the slot empty.

Excluded from auto populate

When running auto populate, unavailable people are excluded from selection entirely for any date they have marked. You don’t need to do anything — the exclusion is automatic. See Auto populate schedule.

Non-availability clash check

If you have built a rota manually before volunteers declared their unavailability — or if someone’s plans changed after you rostered them — use the non-availability clash check to find any dates where a rostered person has since declared themselves unavailable.
